Privacy notice

This notice explains how information is handled when you use the website at warehousefloor.co.uk, which is run by Warehousefloor to help people in the United Kingdom work out what to do about an industrial resin or epoxy floor coating problem. It covers what we collect when you send us an enquiry, what we do with it, and how long we keep it. The separate terms for using the site cover everything else.

Who's responsible for this site

Warehousefloor publishes this website and decides what happens to the information sent through it. We haven't recorded a postal address or a named data protection officer here, so please don't expect one, but you can reach us at any time through the contact page, and we'll deal with whatever you raise.

What we collect, and where it comes from

The enquiry form asks for your name, email address, phone number, postcode or address, and a short description of the floor coating problem you're dealing with. That form is built and delivered for us by an outside provider: Basin (usebasin.com) If you choose to attach photographs, Please do not send photographs that show people. If one does, we delete the photograph. Anything you send us afterwards, whether by reply or a follow-up message, joins the same record, and the network that delivers this site keeps its own technical logs of every visit, such as IP addresses and browser details.

The reasons we use it

The first reason is straightforward: To answer your enquiry and pass it to one specialist covering your area, which is what you ask us to do when you send it. Our legitimate interest is in answering the people who contact us and in running the enquiry service, for which the specialist pays us. We have assessed that this does not override your interests, because you have asked us to pass your enquiry on and you can take your enquiry elsewhere at any time. Beyond that, we use what you send us to keep a record of what was said, to help keep this site secure, and, where it applies, to meet a legal obligation. Your enquiry, with the details you gave, is passed to one specialist firm covering the area you told us about, so that they can contact you about it. They use it only to answer your enquiry and to arrange any visit or work you agree with them, and from that point they are responsible for how they handle it. We do not pass your details to anyone else for their own use. We don't use any of this for marketing, we don't build profiles from it, we make no automated decisions about you, and we never sell it on.

Who else is involved

Dealing with an enquiry isn't something we manage entirely on our own; certain parts of the job are carried out by other providers on our behalf. Basin delivers the enquiry form; Bunny serves the pages; Namecheap provides our email; and Google supplies the typefaces the pages are set in, so your browser requests those files from Google. Each of them handles it only to do that job for us. We would also give information to a regulator, the police or a court where the law required it, and to nobody else.

When information leaves the country

Because of how this site is delivered, your information doesn't necessarily stay within one country. The network that serves the pages holds its technical logs in the United Kingdom, the European Union and the United States. The form service operates from the United States and is certified under the UK Extension to the EU-US Data Privacy Framework.

How long we hold onto it

We don't keep an enquiry indefinitely, and the same rule applies whatever happens next, whether that leads to a conversation with a specialist or nothing further at all. We keep an enquiry for twelve months from the last contact about it, so that we can answer a later question about what was said and who it went to. After that it is deleted from the form service and from our email, and any backup copy is overwritten on the provider's normal cycle. You can ask us to delete it sooner at any time. The network that serves the pages keeps its technical logs for no more than 3 days. Once that point is reached, the record is removed rather than left sitting on our systems.

Protecting what you send

Every page on this site, including the enquiry form, travels over an encrypted connection, so what you send can't be read in transit. Once it reaches us, access is limited to the people who need it to deal with your enquiry, and nobody else sees it as a matter of course.

What you can ask of us

You have a set of rights over the information we hold about you. You have the right to ask what personal information we hold about you and to receive a copy; to have it corrected; to have it deleted; to restrict how we use it; to object to our using it; and to receive what you gave us in a form you can take elsewhere. Ask through the contact page and we answer within one month, without charge; we may ask you to confirm who you are. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we would rather you told us first. If you'd rather raise a concern with the regulator instead of, or as well as, speaking to us, If you complain to us about how we have handled your personal information, we acknowledge it within 30 days and reply as soon as we can.

Enquiries from under-eighteens

This site is written for adults who are responsible for a property, not for children. We don't knowingly collect information from anyone under eighteen, and if we discover that a child has sent us an enquiry, we'll delete it.

No cookies, no trackers

This website doesn't set any cookies of its own. We run no analytics and no advertising trackers, so nothing here follows you around the web once you leave.

Keeping this notice current

We may update this notice if the way we handle enquiries changes, or if the law requires it. Whatever version appears on this page at the time is the one that applies.
